YOUR INFORMATION

Privacy Notice

Who is responsible?

The Olympicon organisers are responsible for personal information submitted through our contact and exhibitor enquiry forms. For privacy questions, please use our contact form.

What we collect and why

The contact form collects your name, email address and message so we can respond. The exhibitor form may also collect your business or stall name, phone number, product details, links and setup requirements so we can consider and follow up on your enquiry.

We use this information to answer your request and, for exhibitor enquiries, to discuss possible stall arrangements. We do not use it for unrelated marketing.

Our lawful basis is our legitimate interests in responding to enquiries and managing event arrangements initiated by you. You can object to processing based on legitimate interests.

Who receives your information?

FormSubmit is a third-party service that handles our form submissions. Its hosting location is not publicly stated, so information submitted through our forms may be processed outside the UK. Submissions are then delivered to the relevant Olympicon email inbox and are available to the organisers who handle enquiries, as well as service providers needed to operate the form and email.

How long we keep it

We normally keep enquiry information for up to 12 months after the event, then delete it. We may keep it longer if needed to complete resulting arrangements, meet legal obligations, or establish, exercise or defend legal claims.

Your rights and complaints

You may have the right to request access to your personal information, ask us to correct it or request its deletion. You can also object to processing based on our legitimate interests. To make a request, please use our contact form.

You have the right to complain to the Information Commissioner’s Office (ICO) if you are unhappy with how we handle your personal information.

Website analytics

We use Cloudflare Web Analytics to see how many people visit this site, which pages they view and roughly where visitors are from, so we can improve it. It does not use cookies or similar storage on your device and does not track you across other websites. Cloudflare processes technical data such as your IP address to provide this service and does not use it for its own purposes. See Cloudflare’s privacy policy for details.

Our lawful basis is our legitimate interests in understanding and improving our website. If you would prefer not to be counted, you can block the analytics script in your browser or contact us using our contact form.

Embedded map

The Visit section and Travel page include an optional Google Map showing Liverpool Olympia. The map does not load until you click or tap “Load map”. By doing so, you agree to load the map. Google may then use cookies or similar technologies on your device and receive technical information such as your IP address and browser details. Google controls its own use of this information; see Google’s privacy policy and cookies policy.

If you do not click or tap “Load map”, the embedded map does not send a request to Google. You can use the “Get directions” link instead; Google Maps only opens if you activate it. If you load the map and later want to remove cookies, you can delete them in your browser settings.

Tickets purchased through Eventim

Ticket purchases are handled by Liverpool Olympia through Eventim, its exclusive ticket provider, separately from Olympicon. Eventim is responsible for the personal information you provide during the ticket purchase process, under its own privacy policy. This is separate from Olympicon's privacy notice, which covers information submitted to our contact and exhibitor enquiry forms.

Only include information relevant to your enquiry in our forms. For information about data collected during ticket purchases, please refer to Eventim's privacy policy.
